A Backup Test You Can Run With Your IT Provider
A practical worksheet for checking recovery of one business file, recording the result and finding gaps before an outage.
Choose one business question
Start with: “Can we recover an important file to a usable state?” That is narrower and safer than trying to simulate a complete disaster without a plan. Agree the test with your IT provider and the information owner.
Use a harmless sample in an approved location. Do not delete live customer information or overwrite production data to create a test.
Write the test sheet first
- The business activity and information being tested.
- The system, owner and backup coverage.
- The recovery point you intend to use.
- The approved destination for the restored sample.
- Who can perform the restore and how access is obtained.
- How the owner will verify the result.
Create a known sample
Give the file recognisable content and a recorded creation time. Ask the provider to confirm when it appears in a recovery point. If the service supports it, make an approved later change so you can distinguish versions.
Do not assume a backup has captured the file just because a job shows success. Check the selected scope and recovery point. A new site or folder may not be included under the arrangement you expected.
Restore without disrupting work
Have the authorised operator restore to a safe alternate location where the product supports it. Record the steps, elapsed time and any access or supplier dependency. The information owner should open and check the result.
If the restored file is incomplete or unusable, record the problem and agree a follow-up. Do not turn a failed test into a pass because the software completed an operation.
Interpret the result honestly
This test demonstrates one recovery scenario under the conditions used. It does not prove that an entire business can recover during a widespread outage. Discuss what changes if the normal administrator, identity platform or network is unavailable.
Compare the observed outcome with your business recovery needs. Decide whether another test should cover a mailbox, application, database or dependent system. Avoid extrapolating a small file's recovery time to every workload.
Keep useful evidence
Save the approved test sheet, result, date and actions in your recovery documentation. Give unresolved gaps a responsible owner. Agree when the next exercise will be useful, particularly after a major system change.
