SharePoint Permissions Without the Chaos

Choose the right permission model, limit unnecessary exceptions and review external sharing without blocking legitimate work.

Start with who needs to do what

Before changing permissions, list the site's purpose, owners, contributors, readers and external collaborators. A project workspace and a company announcement site need different access. Structure information around the work rather than accumulating exceptions until nobody knows who can see a folder.

Use the right ownership model

For a Microsoft 365 group-connected team site, manage the main membership through the group or Teams as appropriate. Read-only access can still use the SharePoint Visitors group. A communication site has a different model and typically uses SharePoint groups.

For private or shared Teams channels, manage membership through Teams rather than trying to repair the channel site's permissions independently. Identify the site type before following a tutorial.

Keep exceptions understandable

Aim for a simple structure with named owners. Unique permissions may be necessary, but record the purpose, owner and review point. When exceptions multiply, consider whether the information belongs in a separate site instead.

There is no universal rule that every site must have exactly two owners or that every folder exception is wrong. The test is whether the business can manage access reliably and maintain continuity.

Check sharing before tightening it

The tenant's external-sharing setting sets the upper limit; a site can be more restrictive. Check the actual configuration and legitimate collaboration needs before changing it.

Sharing links can grant access. Use an appropriate link type and intended recipients rather than assuming an existing-looking link is harmless. Do not promise a universal expiry rule: available behaviour depends on the link and settings.

Run a review with the information owner

  • Check membership and access for leavers or role changes.
  • Review external collaborators and outstanding sharing links.
  • Document intentional permission exceptions.
  • Confirm who owns the next review.
  • Check retention and business needs before archiving or deleting information.

Keep the next step small

Choose one important site, review it with its owner and document the agreed model. Use what you learn to plan the wider cleanup.
